The short version

What to take away.

  • Copy the complete MPN and retain every meaningful suffix.
  • Give the supplier quantity, timing context, destination, and application information.
  • Label alternates as review candidates until the responsible team approves them.

Introduction

A manufacturer part number, or MPN, is the starting point for a sourcing conversation, not the whole request. A clear brief helps a supplier understand what must match, what can be reviewed, and which questions remain open. It also gives internal teams a shared record to reference when responses arrive.

Start with the complete identifier

Copy the full MPN exactly as it appears in the approved BOM, drawing, or manufacturer record. Preserve suffixes for package, temperature range, grade, finish, or packing format. Add the manufacturer name and a plain-language description, but do not replace the exact identifier with a description.

Add the context a supplier cannot infer

Include the requested quantity, use date or planning window, destination, assembly reference, and whether the request is for an existing design, a new design, a repair, or a sample review. Identify whether partial quantities or alternate packing need separate approval. If the request is urgent, explain the decision date rather than implying a delivery promise.

  • Manufacturer and complete MPN
  • Required quantity and planning context
  • Package, grade, and application reference
  • Destination and documentation requirements

Separate candidates from approvals

If an alternate is acceptable for review, place it in a clearly labeled alternate field. Ask the supplier to return the exact MPN, manufacturer, available documentation, and any differences they identified. Keep engineering approval as a separate step. A supplier response can inform the review without deciding whether a substitute works in the design.

A few useful answers

Common questions.

Should I send only the MPN?

No. The MPN is essential, but quantity, use context, planning window, destination, and documentation needs make the request actionable.

Can I include several possible part numbers?

Yes, if each one is labeled as an original, alternate, or comparison item. Avoid combining different candidates into one line.

Does a quote approve an alternate?

No. A quote provides commercial information. The appropriate engineering and quality reviewers still need to determine whether an alternate fits the requirement.
